Take remedial action that is in their control. This includes following the advice in the online course on setting up their workstation for comfort. Forward their self-assessment to their manager or DSE Facilitator. If they suffer from health problems that may be caused or made worse by using DSE, tell their manager, DSE Facilitator or seek confidential advice from Occupational Health. Managers responsibilities Line managers hold the responsibility for ensuring that all necessary DSE assessments are carried out, monitored and reviewed, for the employees under their control. They must: Inform employees, as part of their induction of the need to complete online computer safety essentials and the DSE Self-Assessment. Either appoint a DSE Facilitator for their area of control, or carry out the role themselves. Ensure that DSE Facilitators are provided with the time, training, resources and support needed to carry out their role. Inform DSE Facilitators when new employees are appointed or following significant changes to work or workstations. Take the actions identified as necessary by the assessment. (E.g. purchase of accessory equipment, review of work loads and work patterns). Monitor that assessments are being carried out and follow up taken for employees under their control. Ensure that employees use DSE safely and in accordance with their training Ensure that any DSE Workstations or equipment provided comply with the Minimum Requirements covered by Section B of the DSE Assessment form. Ensure that employees experiencing ill health (e.g. regular aches and pains) that may be related to, or made worse by, work with DSE are reassessed; and, where necessary, referred to Occupational Health. Head of Department / Section/Centre Responsibilities: Heads of Department /Section/School are responsible for ensuring health risks associated with DSE use are controlled and the requirements of the Health and Safety (Display Screen Equipment Regulations are met in their area of responsibility. They must: Ensure that a suitable number of DSE Facilitators are appointed for the area under their control. For areas where DSE Facilitators are not appointed, ensure that the Manager responsible undertakes the role. Ensure that DSE Facilitators are provided with the time, training, resources and support needed to carry out their role. Ensure that any DSE workstations or equipment provided comply with the Minimum Requirement covered by Section B of the DSE Assessment form. Take the actions identified as necessary by the assessment, where they are outside the employee/managers control or affect the whole Department (e.g. providing adequate resources for purchase of accessory equipment, review of Departmental work loads and work patterns) Regularly monitor and review progress with DSE assessment, to ensure that assessments are being carried out and that follow up action is being taken for employees under their control. SUPPORTING ROLES: DSE Facilitator DSE Facilitators assist managers with DSE assessment by: Checking that all the new and existing employees in their area of responsibility who use DSE as part of their work have completed the online Computer Safety Essentials course and the DSE Self-Assessment. Checking users know how to adjust their chair to obtain a good seated posture. Checking that shared workstations without a designated user, but used by employees comply with section B of the DSE assessment form. Where the DSE user has answered Yes to questions in Section A of the DSE Self Assessment or NO to questions in Section B, agreeing the actions needed and who is taking action with the employee and recording them on the form. Checking that employees experiencing aches and pains are following the guidance on setting up the workstation safely. Seeking advice from Workplace Health, Safety and Wellbeing for more complex problems (e.g. if employee continues to experience aches and pains). Advising managers of the results of DSE assessments for employees under their control and the actions they need to take. Regularly reviewing DSE assessments with outstanding actions. Making sure that assessments are reviewed following significant changes to workstations and environment. Following an annual reminder from WHSW (Spring Term), checking that employees review their assessments. Regularly report back to their senior management team on progress with implementation. Workplace Health, Safety and Wellbeing The WHSW Service supports heads of department/section/school and managers in meeting their responsibilities and provide advice on complex DSE assessment. This includes: Providing training to DSE Facilitators and staff, assisting with assessments and providing data to USG and heads of department/section/school to enable them to monitor compliance. Set up processes for carrying out DSE assessment, including maintenance of an online computer safety essentials course. Sending an annual reminder to all staff at the start of the spring term of a need to do/review assessments. Advising on complex DSE assessments and adjustments where an employee has a health condition that may be caused or made worse by their DSE workstation. Where appropriate recommending referral to an Occupational Health Adviser Authorising and funding eye and eyesight tests for DSE Users. Performing complex DSE assessments and adjustments following a management referral to an OH adviser. Where appropriate recommending funding from the Occupational Health Reasonable Adjustments Budgets.
